Privacy Policy — MyWorkFiles

MyWorkFiles is a professional file, document, spreadsheet, and work management application developed by Alisoplay (package ID: com.alisoplay.myworkfiles). This Privacy Policy transparently explains what data the app handles, how it is processed, and your rights as a user.

The application follows an uncompromising local-first architecture: your work records, documents, sheets, tasks, reminders, and notes are stored locally on your device in a secure SQLite/Drift database. Your private data is never transmitted to any external server unless you explicitly enable cloud features (such as Cloud Sync, Workspace collaboration, or account sign-in).

MyWorkFiles provides three distinct access modes to meet your privacy and workflow needs:

• Guest mode: You can use all core document editing and local productivity tools without creating an account or providing an email address. In Guest mode, all your data remains exclusively on your device and is never uploaded to any cloud.
• Email / Password: Authentication is handled securely by Firebase Authentication. Passwords are protected using Google Cloud's industry-standard cryptographic hashing and are never stored or transmitted in plain text.
• Google Sign-In: We support official Google Sign-In via Firebase Authentication. We receive your name, email address, account ID, and profile photo (if available) strictly for identity verification and account association.

Authentication data is processed securely by Firebase (Google Cloud). See the Firebase Privacy Policy for further infrastructure details.

When you subscribe to Cloud or Pro + Cloud (Complete) and choose to enable Cloud Sync (Cloud Safety):

• Structured work data (work records, document content, spreadsheet data, categories, and contracts) is synchronized across your authenticated devices via Google Cloud / Firestore in the us-central1 region.
• Cloud Sync is governed by fair-use operational quotas (e.g. monthly sync mutations and read operations) to maintain system reliability.
• All cloud data is encrypted in transit using TLS 1.3 and at rest using standard AES-256 encryption.

MyWorkFiles supports shared team workspaces for seamless project and operational collaboration:

• Data Isolation: Each workspace operates within a strictly isolated boundary. Server-side Firestore security rules verify user identity and membership before every read or write.
• Invitations by Email: Workspace owners invite collaborators via email. Invitations use deterministic SHA-256 cryptographic keys to prevent tampering and can only be accepted by the verified intended recipient.
• Roles: Access permissions are clearly separated between Owner (administrative, seat management, and billing authority), Worker (read and write permissions), and Viewer (read-only access).

MyWorkFiles allows users to share specific individual documents or spreadsheets directly with collaborators without granting access to the entire workspace:

• Granular Permissions: The owner can designate each shared resource as “Can view” (read-only) or “Can edit” (collaborative editing).
• Dedicated Management Screens: Collaborators access shared files through the “Shared with me” dashboard, while owners monitor active links and revoke access anytime via “Shared items”.
• No Workspace Seat Consumption: Specific-item sharing does not consume workspace member seats. To prevent abuse, it is governed by a generous fair-use limit of up to 50 active shared items per user.

The base Cloud workspace tier includes capacity for the Owner plus 2 included team members (3 collaborators total).

For expanding organizations, recurring Google Play subscriptions provide additional workspace seat tiers:

• +1 extra seat (myworkfiles_seat_tier_1)
• +2 extra seats (myworkfiles_seat_tier_2)
• +5 extra seats (myworkfiles_seat_tier_5)

Member Data Preservation: When an extra-seat subscription expires or is canceled, no existing workspace member or work data is ever deleted. The workspace capacity simply reverts to the base quota, and new invitations are paused until the capacity is upgraded or usage is manually reduced by the owner.

Fundamental Privacy Distinction:

• Original external attachment files remain strictly local: Scanned physical documents, PDF attachments, photos, and external imported files are stored strictly on your local device storage. They are never uploaded or synced to our cloud servers.
• Synchronized Content: Only the structured text records, metadata, spreadsheet cell values, and contracts created directly in the app's editors are synchronized across your devices when Cloud Sync is active.

The application includes advanced document intelligence tools, optical character recognition (OCR), and query features (Document Intelligence, Ask This Document, Ask MyWorkFiles, Life Admin):

• All document scanning, text recognition, and structural analysis are performed entirely on your device using offline Google ML Kit models on your device processor.
• Your private documents are not sent to OpenAI, Gemini, or any other cloud AI model.
• Your documents and personal work files are never used to train any general-purpose artificial intelligence or machine learning models.

On-device translation features utilize Google ML Kit. Translation language models are downloaded to your device with your explicit consent. Once downloaded, translation takes place completely on-device without sending document content to any translation servers.

Camera permission is requested optionally solely to enable you to scan physical work documents. Captured document images are cropped and processed locally on your phone without sharing camera feeds or images with external third parties.

In addition to optional Cloud Safety, MyWorkFiles offers comprehensive local backup capabilities. You can export an encrypted backup file of your entire database directly to your device storage, allowing offline safekeeping and manual restoration at any time.

You can lock application access with a custom PIN or biometric authentication (fingerprint or facial recognition). Biometric verification is processed exclusively by your operating system's Secure Enclave / BiometricPrompt. The application never accesses, stores, or transmits your biometric data.

Task reminders, contract expirations, and work deadlines are scheduled locally using the device's notification manager. If you opt in to professional legal and regulatory updates, Firebase Cloud Messaging (FCM) is used to deliver official notifications.

All commercial transactions and subscriptions are processed through Google Play Billing:

• Product Tiers: Pro (on-device productivity, ad-free), Cloud (multi-device sync, workspaces), Pro + Cloud (Complete package), and Extra Workspace Seats.
• Trusted Server-Side Verification: Subscription entitlements are validated server-side using Google Cloud Functions calling the official Google Play Developer API (subscriptionsv2 endpoint). Real-Time Developer Notifications (RTDN) via Google Cloud Pub/Sub manage subscription lifecycles, grace periods, and renewals automatically.
• Alisoplay never collects, handles, or stores payment card credentials. All transactions are governed by Google Play Terms of Service.

MyWorkFiles implements a clear, transparent advertising policy:

• Free and Cloud-only tiers: May display non-intrusive banner, interstitial, or rewarded advertisements served by Google AdMob to help fund ongoing development and hosting.
• Pro and Pro + Cloud (Complete) subscribers: Enjoy a completely ad-free experience across all screens.
• AdMob operates under Google's Privacy Policy and may reference anonymous advertising IDs. Your private work records, documents, and sheets are never shared with advertising networks.

MyWorkFiles does not include third-party behavioral analytics or commercial tracking SDKs. Diagnostic information is limited to standard anonymous technical performance and crash data reported natively by Google Play Console to ensure stability across Android devices.

Cloud data is hosted on Google Cloud Platform servers in the us-central1 region (United States), adhering to enterprise-grade security protocols:

• End-to-end transport security with TLS 1.3 and storage encryption with AES-256.
• Server-enforced Firestore security rules ensuring strict tenant isolation.
• Data retention: data is retained only as long as your account remains active. When you delete your account, data is permanently destroyed as described below.

MyWorkFiles gives you full control to permanently delete your account and associated data:

• In-App Deletion: You can delete your account at any time via Settings → Account → Delete Account. This immediately executes the secure deleteMyWorkFilesAccount Cloud Function, which seals your owned workspaces, revokes pending invitations, purges your Firestore cloud records, deletes your Firebase Authentication profile, and wipes local device storage.
• Public / Email Deletion Request: If you have uninstalled the app or cannot sign in, you can request account deletion by emailing alisoplay.apps@gmail.com from your registered address. After identity verification, all account data will be permanently wiped within 30 days.
• Google Play Subscriptions Notice: Deleting your account removes your cloud and local app data, but does not automatically cancel recurring Google Play subscriptions. To avoid renewal charges, you must cancel your subscription directly in Google Play: Google Play Store app → Profile icon → Payments & subscriptions → Subscriptions → MyWorkFiles → Cancel subscription.

MyWorkFiles is a specialized productivity and workforce application intended for working adults and professionals. It is not directed to children under 13 (or under 16 in the European Economic Area). We do not knowingly collect personal data from children. If we discover that a child has registered an account, we will take immediate steps to delete the account and associated data.

Under applicable data protection laws, you have the right to access, rectify, export, restrict, or permanently erase your personal data at any time.
